Position Overview:

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our Managing Director. The ideal candidate will be able to manage a wide range of administrative and executive support tasks with efficiency and discretion. This role requires a high level of professionalism, attention to detail, and the ability to multitask in a fast-paced environment.


Key Responsibilities:

  1. Manage the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
  2. Coordinate and prioritize the MD's emails, phone calls, and other correspondence, ensuring timely responses and follow-up.
  3. Prepare and edit correspondence, presentations, reports, and other documents on behalf of the MD.
  4. Conduct research, gather data, and prepare briefing materials for meetings, presentations, and projects.
  5. Attend meetings with the MD, take minutes, and follow up on action items as needed.
  6. Act as a liaison between the MD and internal/external stakeholders, including clients, partners, and staff members.
  7. Handle confidential information with discretion and maintain the highest level of professionalism at all times.
  8. Assist with personal tasks and errands for the MD, as required.
  9. Anticipate the MD's needs and proactively identify opportunities to streamline processes and improve efficiency.
  10. Collaborate with other members of the executive team and provide support as needed to ensure the smooth operation of the organization.


Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Proven experience as a Personal Assistant or Executive Assistant, supporting senior-level executives.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility to adapt to changing priorities and work schedules.
  • Previous experience in [industry/sector] is a plus.
