Position Overview:
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our Managing Director. The ideal candidate will be able to manage a wide range of administrative and executive support tasks with efficiency and discretion. This role requires a high level of professionalism, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Manage the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prioritize the MD's emails, phone calls, and other correspondence, ensuring timely responses and follow-up.
- Prepare and edit correspondence, presentations, reports, and other documents on behalf of the MD.
- Conduct research, gather data, and prepare briefing materials for meetings, presentations, and projects.
- Attend meetings with the MD, take minutes, and follow up on action items as needed.
- Act as a liaison between the MD and internal/external stakeholders, including clients, partners, and staff members.
- Handle confidential information with discretion and maintain the highest level of professionalism at all times.
- Assist with personal tasks and errands for the MD, as required.
- Anticipate the MD's needs and proactively identify opportunities to streamline processes and improve efficiency.
- Collaborate with other members of the executive team and provide support as needed to ensure the smooth operation of the organization.
Qualifications:
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience as a Personal Assistant or Executive Assistant, supporting senior-level executives.
- Excellent communication skills, both written and verbal.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to adapt to changing priorities and work schedules.
- Previous experience in [industry/sector] is a plus.
