Executive Assistant to Managing Director
Position Overview:
We are looking for a dynamic and highly organized Executive Assistant to provide comprehensive administrative support to our Managing Director. The ideal candidate will be adept at managing multiple tasks simultaneously, possess excellent communication skills, and have a strong attention to detail. The Executive Assistant will play a pivotal role in ensuring the efficient operation of the Managing Director's office and facilitating seamless communication both internally and externally.
Responsibilities:
• Manage the Managing Director's calendar, including scheduling appointments, meetings, and travel arrangements.
• Coordinate and prioritize incoming inquiries and requests, ensuring timely responses and followup actions.
• Prepare correspondence, reports, presentations, and other documents on behalf of the Managing Director.
• Act as a liaison between the Managing Director and internal/external stakeholders, including clients, vendors, and team members.
• Assist in preparing meeting agendas, attending meetings, and taking minutes as needed.
• Conduct research and compile information as requested by the Managing Director to support decision-making processes.
• Maintain confidentiality and discretion in handling sensitive information and communications.
• Assist in organizing company events, conferences, and special projects as assigned.
• Handle administrative tasks such as expense management, invoice processing, and office supply procurement.
• Provide general administrative support to other members of the executive team as required.
Qualifications & Skills Required :
• Bachelor's degree in business administration, management, or related field preferred.
• Proven experience as an executive assistant or similar role, preferably in the construction industry.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• Strong organizational and time management skills with the ability to prioritize tasks effectively.
• Excellent written and verbal communication skills, including the ability to communicate professionally with individuals at all levels.
• Ability to work independently with minimal supervision and demonstrate initiative in problemsolving.
• Discretion and confidentiality in handling sensitive information and maintaining professional relationships.
• Flexibility and adaptability to meet changing priorities and deadlines.
• Experience coordinating travel arrangements and managing complex calendars.
• Attention to detail and accuracy in all tasks, with a commitment to delivering high-quality work.
