Job Overview
We are seeking a Junior Receptionist to join our team at Spandana Hospital's Bengaluru location. This is a full-time position requiring 1 to 3 years of experience in a similar role. The successful candidate will be the first point of contact for visitors and patients, contributing to the seamless operation of our front office.
Qualifications and Skills
- Proficiency in Microsoft Office Suite to manage documentation and other administrative duties efficiently.
- Experience with multiline phone systems to handle and route incoming calls effectively in a professional manner.
- Familiarity with CRM Software to assist with managing patient and visitor information accurately and securely.
- Effective email management skills to respond to inquiries promptly and professionally.
- Document management skills to ensure all paperwork is completed accurately and filed appropriately.
- Excellent customer service skills (Mandatory skill) for providing a welcoming atmosphere to all patients and visitors.
- Proficiency in appointment scheduling software (Mandatory skill) to manage bookings efficiently and avoid scheduling conflicts.
- Strong data entry skills (Mandatory skill) to maintain accurate records of patients and other relevant information.
Roles and Responsibilities
- Greet and assist patients and visitors with their inquiries, ensuring a professional and friendly interaction at all times.
- Manage the reception area efficiently, ensuring it is kept clean and presentable.
- Answer and direct phone calls using a multiline phone system, taking messages when necessary.
- Schedule and confirm patient appointments, adjusting schedules as required to accommodate urgent requests.
- Provide support in managing emails and correspondence, ensuring timely and appropriate responses.
- Assist in maintaining and organizing patient records and files, ensuring confidentiality and accuracy.
- Coordinate with medical and administrative staff to facilitate effective communication across departments.
- Undertake additional clerical duties as assigned to support day-to-day operations of the hospital.
