SECTION II: PURPOSE OF THE ROLE

To manage contract finalisation & administration from receipt of Scope Of Work (SOW) to closure of contract and guide downstream team for process adherence and course correction


SECTION III: KEY RESPONSIBILITIES AND ACCOUNTABILITIES OF THE ROLE

Responsibilities


Policies, Processes and Procedures

  • Assist in formulation of functional plans and ensure day-to-day execution in line with function standards & regulations
  • Implement new initiatives/ projects as per established policies to meet future requirements of various O&M contracts
  • Provide inputs for improvements in business processes, specifications and best practices


Contract Awarding & Management

  • Manage the operations & maintenance contracts, including reviewing Scope Of Work (SOW)
  • Decide upon the type and kind of contract and managing changes as needed
  • Review the RFQ documents prepared by downstream team
  • Finalize Division Of Responsibility (DOR) in consultation with construction team
  • Review internal cost estimates prepared by downstream team based upon prevailing rates and negotiate with potential contractors
  • Jointly prepare the approval note and submit to Sr. Team Lead, resolve queries and thereafter award contracts
  • Participate in kick-off meetings with contractors post award of contract
  • Monitor effective management of contracts, review contractor work progress in consultation with stakeholders for respective sites
  • Review contractor claims and settlement, issue notices/letters in consultation with stakeholders and handle change management


Vendor Development

  • Develop and maintain strong relationships with key vendors and provide ongoing support in resolving disputes as needed
  • Conduct initial screening for vendors to ensure compliance with all relevant regulations and standards, such as environmental regulations and RIL requirements to enhance the vendor pool
  • Assist in aligning vendors to various internal laid procedures and compliance requirements
  • Monitor and analyse vendor performance data, including cost, schedule, and quality metrics, to identify areas for improvement and to drive continuous improvement
  • Coordinate with internal stakeholders as operations, engineering, and finance teams for timely resolution of conflicts


People Management

  • Participate in recruitment activities & ensure retention / engagement of own team
  • Set performance objectives of own team, evaluate / appraise team members and provide regular feedback & guidance
  • Guide, mentor and develop own team to take larger and complex responsibilities
  • Evaluate training and development requirements for own team and make recommendations for learning interventions

Education Qualifications

  • A bachelor’s degree in Engineering or a master’s degree in Management of Business Administration (MBA) (preferred)


Experience

  • 8-12 years of experience in procurement, supplier negotiation and contracts preferably in oil/ petrochemicals major or process industries


Functional / Behavioral competencies required to execute the role
