The Team Lead (General Administration) in RFSAC is responsible for coordinating with all the schools concerning the general administration functions and ensuring that they are managed efficiently and effectively with high standards of quality so that each school achieves its vision and mission. The General Administration Coordinator is required to work closely with the schools for a thorough understanding of the school campuses through periodical visits and ensure that the schools’ general administration functions meet organisational expectations and regulatory requirements.

 

The Team Lead (General Administration) should work with the schools and ensure that the following areas of general administration are effectively managed:

 

1)    Upkeep and Maintenance of Campus Facilities – Proper upkeep and maintenance of the school campus including the building, playground, garden and all other facilities; electrical and other equipment, maintenance of ACs and lifts, furniture and fixtures, ICT assets, laboratory and library facilities, teaching and learning equipment and resources, housekeeping, plumbing and sanitation, gardening and horticulture, pest control, repairs and maintenance, campus renovation, etc. Adherence to standards and norms notified by government education departments, affiliating bodies, and other regulatory authorities. Maintenance of service contracts and insurance of assets. Safe-keeping of architectural and engineering plans and designs of the building and facilities.

 

2)    Safety and Security – Periodic reviews of safety standards and practices as per regulatory requirements and best practices for school facilities and events and their effective implementation and diligent monitoring. Periodic mock drills like school evacuation drills, lockdown drills, bus evacuation drills, firefighting drills, etc. Procurement and maintenance of electronic security devices and access control systems. Periodical internal safety audits and corrective steps. Posting of an adequate number of security personnel.

 

3)    Transport Management Operation of school buses through proper vendor engagement and monitoring, including route planning, assigning students to various bus routes, managing transport staff deployment and their training, supervising the bus staff including the transport supervisor, attending to parent/student grievances related to transport services, taking necessary actions and coordinating for student outings/field trips, and complying with all the regulatory and safety norms as announced by the authorities concerned like the state government, RTO, etc. Maintenance and operations of cars and other vehicles owned by the school.

 

4)    Medical Services – Medical room, equipment and material, students’ medical records and administrative support for medical eventualities.

 

5)    Food & Beverages (F&B) Operations – Operation of cafeteria/pantry services by the vendor/school by adhering to all safety standards and precautions. Provision of safe drinking water by following all the testing protocols and precautions.

 

6)    Admissions – Updation and implementation of admissions policies and processes for compliance with RTE, Fee Regulation Act, the affiliating education Board or Central and State Governments. Preparation of admission-related documents, admission announcements and marketing efforts to achieve optimum student intake.

 

7)    Development and Revision of administrative systems, policies and processes, and their implementation – Development and revision of administrative systems, processes and policies, including the development and updation of templates, formats, checklists, dashboards, SOPs, MIS, reports, etc. Implementation and monitoring of systems and processes. Digitalisation of systems and processes. Publication of school diary, staff handbook, administrative policy manual, etc.

 

8)    Maintenance of Records and Archival System – Maintenance of records (digital and print versions as required) as per applicable laws and regulations, recording/filing system and archiving system with indexing.

 

9)    Auditing – Periodical audits of safety and security systems and equipment including structural audits, fire audits, asset audits, and IT audits. Regular follow-up of audit comments and their closure/corrective steps taken on time.

 

10) Regulatory and Statutory Compliances – Statutory and regulatory requirements as laid down by various acts and regulations as relevant to schools. Obtaining and renewing required approvals, permissions, certificates, licenses, etc. maintained up-to-date. Submission of reports and data to the education department, regulatory authorities and affiliating bodies.

 

11) Admin Staff Supervision and Management – Supervision of the admin staff (including agency staff), assigning responsibilities to them, reviewing their work, organising training programmes, arranging medical examinations for the support staff, supporting travel, accommodation and logistics arrangements for staff going on trips in consultation with the HR Department, etc.

 

12) Information and Communication Technology (ICT) – Maintenance of ICT facilities as per standards and requirements for each category of assets. Adequate number of ICT personnel, and their training.

 

13) School Activities and Events Support in organising school activities, PD programmes, major events and school trips. Preparing the Admin Calendar, planning and executing the activities and events in coordination with the required internal departments, external authorities and law enforcement agencies.

 

14) Communications & Branding Development and maintenance of a system of communication with staff, parents and other stakeholders and efforts to enhance the brand image and reputation of the school.

 

15) Coordinating and liaising with various internal and external constituents – Coordination with staff, various school departments, site management team, and RIL departments. Liaising with government and local body institutions like law enforcement, education departments, etc.

 

16) Perform any other duties as assigned by the Head of Administration from time to time.
