Job Overview:

We are looking for an experienced Admin Manager to oversee all aspects of office administration, ensuring smooth operations and a productive work environment. The Admin Manager will be responsible for travel management, vehicle management, facility maintenance, stationery supplies, kitchen and canteen operations, and other day-to-day office requirements.

Key Responsibilities:

  • Office Administration: Oversee the daily office operations, ensuring all office facilities and services function effectively.
  • Travel Management: Coordinate and manage employee travel arrangements including flights, accommodations, and itineraries.
  • Vehicle Management: Maintain and monitor company vehicles, ensuring timely servicing, insurance renewals, and fuel management.
  • Maintenance & Repairs: Ensure all office infrastructure and equipment are well-maintained, managing repairs, security, and facility upgrades as required.
  • Stationery & Supplies: Manage the inventory of office supplies, including stationery, and ensure timely replenishment as needed.
  • Kitchen & Canteen Management: Oversee the kitchen and canteen facilities, ensuring hygienic and cost-effective food services for employees.
  • Vendor Management: Negotiate and manage contracts with vendors and service providers for office supplies, maintenance, and travel.
  • Budget Management: Monitor and control expenses related to office administration, ensuring alignment with the allocated budget.
  • Policy Implementation: Develop and enforce policies related to office operations, travel, and facility usage to ensure compliance and efficiency.
  • Team Coordination: Supervise and manage administrative staff, ensuring that duties are carried out effectively.
  • Event Management: Support in organizing internal events, meetings, and conferences as required.
  • Health & Safety: Ensure compliance with health and safety regulations within the office environment.

Qualifications:

  • Bachelor’s degree in business administration or a related field.
  • Proven experience (5+ years) in office administration, facilities management, or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in office management software (e.g., MS Office, ERP systems).
  • Ability to handle pressure and manage multiple tasks effectively.

Preferred Skills:

  • Experience with travel and vehicle management.
  • Familiarity with office budgeting and cost management.
  • Knowledge of health, safety, and compliance regulations.
