Job Summary: The HR Compliance Manager is responsible for ensuring that the organization complies with all relevant labor laws, regulations, and internal policies. This role involves developing, implementing, and overseeing compliance programs, conducting audits, and providing training to staff on compliance-related matters. The HR Compliance Manager serves as a key advisor to the HR department and senior management on compliance issues and works to minimize legal risks and maintain a positive and fair work environment.
Key Responsibilities:
Compliance Program Development:
- Develop and implement HR compliance policies and procedures.
- Monitor and interpret federal, state, and local labor laws and regulations to ensure the organization’s compliance.
- Conduct regular reviews and updates of company policies to reflect changes in laws and regulations.
Audits and Assessments:
- Conduct regular audits to ensure compliance with employment laws and internal policies.
- Identify potential compliance risks and develop strategies to mitigate them.
- Prepare reports on audit findings and recommend corrective actions.
Training and Education:
- Develop and deliver training programs for employees on compliance-related topics.
- Provide guidance and support to HR staff and management on compliance issues.
- Ensure all employees understand and adhere to company policies and legal requirements.
Investigations and Reporting:
- Investigate reports of non-compliance or unethical behavior within the organization.
- Maintain records of compliance activities, including investigations and outcomes.
- Report compliance issues to senior management and recommend disciplinary actions if necessary.
Policy Management:
- Develop and maintain the employee handbook, ensuring it is up-to-date with current laws and company policies.
- Oversee the implementation of new HR policies and procedures.
- Ensure consistent application of policies across the organization.
Advisory Role:
- Serve as a subject matter expert on HR compliance issues for the organization.
- Advise senior management on potential legal risks and compliance strategies.
- Collaborate with legal counsel on complex compliance matters.
Record Keeping and Documentation:
- Maintain accurate and up-to-date compliance records and documentation.
- Ensure proper documentation of all compliance-related activities and decisions.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 5+ years of experience in HR compliance or a related role.
- In-depth knowledge of federal, state, and local employment laws and regulations.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Certification in HR (e.g., SHRM-CP, SHRM-SCP, PHR, SPHR) is preferred.
Working Conditions:
- Typical office environment with occasional travel for training or audits.
- Ability to work under pressure and meet tight deadlines.
