We are seeking a highly organized, proactive, and detail-oriented Back Office Operations to support the daily operations of our management team within the Visa industry. The Administrator will play a vital role in administrative tasks, coordinating schedules, handling customer inquiries, and ensuring that all operations run smoothly. This position demands excellent communication, organizational skills, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities:
- Administrative Support: Assist the manager by handling day-to-day administrative tasks, ensuring all assignments and projects are completed on time.
- Schedule Management: Coordinate the manager’s calendar, schedule meetings, appointments, and events, and send reminders to ensure important tasks are not missed.
- Customer Service & Inquiries: Act as the point of contact for customer inquiries, addressing calls, emails, and messages on behalf of the manager, and providing information or redirecting as needed.
- Communication & Updates: Keep records, spreadsheets, and reports up to date, ensuring that the manager is always informed of progress and changes. Relay important messages and updates between the team and the manager.
- Task Management: Remind the manager of upcoming deadlines, meetings, or tasks that require completion. Track the status of ongoing projects and ensure timely follow-up.
- Organizational Support: Demonstrate strong organizational skills by planning and arranging the manager’s schedule, office supplies, and resources needed for meetings or travel.
- Customer Interaction: Assist with processing customer inquiries and complaints, providing timely and efficient solutions in line with company protocols.
- Confidentiality & Professionalism: Handle sensitive information with confidentiality and professionalism at all times.
- Feedback & Improvement: Be open to constructive feedback and work closely with the manager to identify opportunities for improving workflow and team coordination.
Qualifications:
- Educational Background: A high school diploma is required; a Bachelor’s degree in Business Administration, Tourism, or a related field is plus
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook), Google Suite, and basic office equipment.
