Job Overview

We are seeking a highly organized and detail-oriented Executive Assistant to support our senior executives. As an Executive Assistant, you will provide administrative support and ensure the smooth operation of our executives' day-to-day activities. This is a mid-level position requiring 4 to 6 years of experience. The role is based in Chennai, Tamil Nadu, India and is a full-time position.

Qualifications and Skills

  • Proven experience as an Executive Assistant or similar role for 4 to 5 years.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Good typing speed and accuracy.
  • Ability to draft professional emails and correspondence.
  • Experience in handling travel arrangements and reservations.
  • Proficient in computer usage and technology.
  • Ability to maintain confidentiality and exercise discretion.
  • Female candidates preferred.

Roles and Responsibilities

  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Screen and respond to emails, letters, and phone calls on behalf of the executives.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate meetings, conferences, and events, including catering and logistical arrangements.
  • Take meeting minutes and follow up on action items.
  • Conduct research and prepare briefing materials for meetings and presentations.
  • Handle confidential and sensitive information with discretion.
  • Assist in the preparation of reports and data analysis.
  • Maintain and organize executive files and records.
  • Perform general office duties, including ordering supplies and maintaining office equipment.
  • Provide support to other team members and perform ad-hoc administrative tasks as needed.
