Overview

The O365 Administrator is responsible for the planning, deployment, and maintenance of the Microsoft Office 365 suite of applications and services within the organization. This role involves ensuring the effective and secure use of O365 tools, managing user accounts, troubleshooting issues, implementing security measures, monitoring threats, and responding to incidents and collaborating with other IT professionals to optimize the organization's productivity and collaboration.

Key Responsibilities

1.     O365 Deployment and Configuration:

·      Plan, implement, and manage the deployment of Microsoft Office 365 services, including Exchange Online, SharePoint Online, OneDrive for Business, Teams, and other related applications.

·      Configure and customize O365 settings to meet the organization's requirements and security standards.

2.     User Account Management:

·      Create and manage user accounts, groups, and distribution lists in Office 365.

·      Monitor and enforce security policies, access controls, and permissions for O365 services.

3.     Email Management:

·      Administer and troubleshoot Exchange Online for email services.

·      Configure and manage mail flow, anti-spam settings, and email archiving.

4.     Collaboration and Communication:

·      Support and optimize the use of Microsoft Teams for effective collaboration and communication.

·      Facilitate the integration of O365 applications to enhance teamwork and productivity.

5.     Security and Compliance:

·      Implement and maintain security measures to protect O365 environments.

·      Monitor compliance with data protection and regulatory requirements.

6.     Troubleshooting and Support:

·      Address and resolve user issues related to O365 applications.

·      Provide technical support for O365 services and assist with incident response.

7.     Monitoring and Reporting:

·      Implement monitoring solutions to track the performance and availability of O365 services.

·      Generate and analyze reports on system usage, performance, and security.

8.     Upgrades and Patch Management:

·      Stay informed about updates, patches, and new features released by Microsoft.

·      Plan and execute updates and patches in coordination with IT policies.

9.     Security Configuration:

·      Configure and maintain security features within Office 365, including threat protection, data loss prevention (DLP), and encryption settings.

·      Implement multi-factor authentication (MFA) and conditional access policies to enhance account security.



10. Incident Response and Threat Management:

·      Monitor security alerts and events within the O365 environment using security tools such as Microsoft Defender for Office 365.

·      Investigate security incidents, including unauthorized access attempts, phishing attacks, and malware outbreaks.

·      Respond to security threats promptly, containing and mitigating their impact on O365 services and data.

11. Compliance and Governance:

·      Ensure compliance with industry regulations (e.g., GDPR, HIPAA) and organizational policies related to data protection and privacy within Office 365.

·      Configure and enforce retention policies, eDiscovery, and legal hold settings for compliance purposes.

12. Security Auditing and Reporting:

·      Conduct regular audits of O365 security configurations and user access permissions.

·      Generate reports on security posture, incidents, and compliance status for stakeholders and regulatory purposes.

13. Collaboration with IT Security Team:

·      Work closely with the IT security team to align O365 security measures with broader organizational security policies and initiatives.

·      Participate in security assessments, penetration testing, and vulnerability management activities as they pertain to O365.


Qualifications:

·      Bachelor’s degree in information technology, Computer Science, or a related field.

·      Proven experience as an O365 Administrator or similar role.

·      Microsoft certifications such as MS-102, SC-200 or equivalent.

·      Strong understanding of Microsoft Exchange, SharePoint, OneDrive, and Teams.

·      Knowledge of security best practices and experience implementing them in an O365 environment.

·      Excellent troubleshooting and problem-solving skills.

·      Effective communication and collaboration skills.


Preferred Skills:

·      Experience with PowerShell scripting for O365 administration.

·      Familiarity with third-party tools for O365 monitoring and management.

·      Knowledge of identity management and single sign-on solutions (e.g., Azure AD).

·      Familiarity with compliance and data governance features in Office 365.
