Role Overview

The Agency Operational Manager will play a crucial role in enhancing agency efficiency, managing cross-functional teams, streamlining project execution, and ensuring client satisfaction. This role demands a proactive leader who can balance creativity with operational excellence, ensuring that all projects are delivered on time, within budget, and at the highest quality standards.

Key Responsibilities

Operational Efficiency & Workflow Management

• Develop, implement, and refine agency processes to enhance efficiency and productivity.
• Streamline project workflows, ensuring teams operate seamlessly across branding, content creation, and digital marketing.
• Identify bottlenecks and inefficiencies, implementing strategies to resolve them proactively.
• Oversee resource allocation, ensuring optimal use of talent, time, and budget.
• Oversee project timelines, ensuring deliverables are completed on time and within scope.
• Co nduct weekly operational meetings to track project progress and resolve roadblocks.

Team Coordination & Leadership

• Manage and coordinate creative, marketing, and client servicing teams, ensuring alignment on goals and priorities.
• Foster a collaborative, high-performance culture that encourages innovation and accountability.
• Serve as the operational bridge between clients and internal teams, ensuring clear communication and expectations.

Client & Project Management

• Ensure a seamless client experience, addressing concerns proactively and maintaining long-term relationships.
• Track project performance, budgets, and timelines, optimizing processes for better efficiency.
• Ensure adherence to agency best practices, SOPs, and quality standards.

Financial Oversight & Budget Control

• Assist in budget planning, cost control, and resource allocation to ensure profitability.
• Monitor operational expenses, identifying areas for cost savings and efficiency.
• Ensure proper tracking of project budgets, vendor payments, and financial reporting.

Performance Monitoring & Strategic Growth

• Support leadership in scaling operations, identifying new growth opportunities, and improving service delivery.
• Track key operational and financial metrics, analyzing agency performance for continuous improvement.
• Implement data-driven insights to enhance efficiency, profitability, and service offerings.
• Generate monthly and quarterly reports on team productivity, project outcomes, and agency performance.

Key Qualifications & Skills

• Proven experience (X+ years) in operations, project management, or agency management (preferably in a creative, branding, or digital marketing agency).
• Strong leadership and organizational skills, with the ability to manage multiple projects simultaneously.
• Proficiency in project management tools (Asana, Trello, Monday.com, or similar).
• Understanding of budgeting, financial planning, and operational efficiency.
• Ability to analyze performance data and drive strategic improvements.
• A problem-solving mindset, with a proactive and solutions-oriented approach.
• Excellent communication and interpersonal skills to coordinate with clients and internal teams.
