Role & responsibilities
· Greeting Visitors: Welcome and assist visitors in a friendly and professional manner, ensuring they feel valued and attended to.
· Telephone Management: Answer, screen, and transfer incoming phone calls to the appropriate employees promptly and efficiently.
· Mail Handling: Sort and distribute incoming mail to employees, ensuring timely and accurate delivery.
· Meeting and Appointment Scheduling: Coordinate and schedule meetings and appointments for executives and customers, maintaining an organized calendar.
· Responding to Inquiries: Address and respond to inquiries and questions from clients, customers, and employees with clear and accurate information.
Administrative Support: Provide general administrative support as needed, including data entry, filing, and managing office supplies
Preferred candidate profile -
· Experience: Minimum of 4 years of experience as a receptionist or in a similar role.
· Communication Skills: Excellent verbal and written communication skills. Ability to communicate clearly and professionally with diverse groups of people.
· Presentable: Must be presentable with a professional appearance and demeanour..
· Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers).
· Problem-Solving: Ability to handle challenging situations with poise and professionalism.
