l. Assisting the Supervisor to the best of her responsibilities and duties
2. Assisting other departments in preparation of documents, etc. (Purchase, Accounts etc.,)
3. Proficient in scanning large volumes of documents within time allocated
4. Preparing letters, memos and other office correspondence (Work orders, AMCs, POs, Quotations, Proposals, etc) efficiently, within the stipulated time period.
5. Filing of all office correspondence efficiently. Ensuring that all sensitive official records are kept under lock and key, with access only to the concerned personnel / staff
6. The Secretarial Assistant must keep sensitive information that they have access to as private and confidential, without disclosing this to other employees and outsiders. Failure to comply with this might lead to dismissal
7. Handling fax messages and other official correspondence
8. Must be proficient in the use of MS Office (including Word, Excel, Access and PowerPoint) and Outlook Express. Should be able to independently prepare letters, memos, and other office correspondence using MS Word, Excel, and Access. Added knowledge of Tally will be preferable but not mandatory.
9. However, should be willing to learn, to carry out the responsibilities limited to the work involved using Tally.
10. Must have an eye for detail and a good memory.
Must be efficient in the use of the Printer, Fax machine and Scanner
Job Qualification:
a. Graduate in any field or Diploma Holder in Secretarial field with relevant experience.
b. Preference to candidates who have already worked in IT companies
