Job Overview: As an Executive Assistant to the Director, you will provide high-level administrative support, manage schedules, and coordinate activities to ensure the efficient operation of the director's office. You'll play a pivotal role in enabling effective communication, managing priorities, and handling confidential information.

Key Responsibilities:

  • Manage the director's calendar, and schedule appointments, meetings, and travel arrangements, ensuring optimal time management and coordination.
  • Act as a liaison between the director, internal teams, external partners, and stakeholders, handling inquiries and requests efficiently.
  • Prepare and organize documents, reports, presentations, and correspondence on behalf of the director, ensuring accuracy and professionalism.
  • Coordinate and oversee special projects or initiatives as assigned by the director, following through on deadlines and deliverables.
  • Screen and prioritize emails, phone calls, and visitors, handling them with discretion and professionalism.
  • Maintain confidentiality of sensitive information and exercise judgment and discretion in handling confidential matters.
  • Assist in preparing meeting agendas, taking minutes, and following up on action items as needed.
  • Handle ad-hoc administrative tasks and provide support to other executives or departments as required.

Qualifications:

  • Bachelors degree in Business Administration, Communications, or a related field.
  • X+ years of experience as an executive assistant or in a similar administrative role, preferably supporting high-level executives or directors.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software for administrative tasks.
  • Excellent organizational and time management skills with the ability to prioritize tasks and manage multiple deadlines.
  • Strong communication and interpersonal skills, both written and verbal.
  • Exceptional attention to detail and accuracy in all work.
  • Ability to handle confidential information with discretion and professionalism.
