Job Overview:

The Exhibition Executive is responsible for planning, coordinating, and executing exhibitions that showcase the company’s products, services, and brand. This role involves managing all logistical aspects of exhibitions, from initial planning and vendor coordination to on-site execution and post-event analysis.

Key Responsibilities:

  1. Exhibition Planning and Coordination:
  • Develop and implement detailed plans for exhibitions, including timelines, budgets, and key milestones.
  • Collaborate with internal teams to determine exhibition goals, target audience, and messaging.
  • Source and negotiate with vendors and suppliers for booth construction, signage, audiovisual equipment, and other necessary services.
  1. Logistics Management:
  • Coordinate all logistical aspects of exhibitions, including booth setup, equipment installation, and on-site management.
  • Oversee the delivery and setup of exhibition materials, ensuring everything is in place before the event opens.
  • Manage the on-site team, including staff and contractors, to ensure smooth operations and address any issues that arise.
  1. Exhibition Execution:
  • Ensure the exhibition booth and related activities are executed according to plan, maintaining high standards of presentation and service.
  • Monitor the event’s progress, handle any on-site problems, and make adjustments as needed to ensure a successful exhibition.
  • Serve as the main point of contact for exhibition organizers, attendees, and vendors.
  1. Marketing and Promotion:
  • Assist in the development and execution of marketing strategies to promote the company’s participation in the exhibition.
  • Collaborate with marketing teams to create promotional materials, including brochures, banners, and digital content.
  • Ensure that the exhibition booth effectively represents the company’s brand and messaging.
  1. Budget and Financial Management:
  • Prepare and manage the exhibition budget, tracking expenses and ensuring cost-effectiveness.
  • Negotiate contracts with vendors and service providers to achieve favorable terms.
  • Monitor financial aspects of the exhibition and provide detailed reports on expenditures and return on investment.
  1. Post-Exhibition Evaluation:
  • Conduct a thorough post-event analysis to evaluate the exhibition’s success and gather feedback from attendees and team members.
  • Prepare reports on the outcomes of the exhibition, including metrics such as visitor numbers, leads generated, and overall performance.
  • Identify areas for improvement and implement recommendations for future exhibitions.
  1. Compliance and Safety:
  • Ensure compliance with all relevant regulations, health, and safety standards.
  • Coordinate with exhibition organizers to adhere to venue-specific guidelines and requirements.

Qualifications:

  • Education: Bachelor’s degree in Event Management, Marketing, Business Administration, or a related field.
  • Experience: Previous experience in event management or exhibitions is preferred, but not required.
  • Skills:
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with exhibition management software.
  • Ability to work effectively under pressure and manage multiple aspects of an event simultaneously.
  • Attention to detail and problem-solving skills.
