We are seeking a professional and personable Receptionist to manage our front desk and serve as the first point of contact for our company. This role is essential for creating a welcoming and efficient environment and involves managing various administrative tasks to support the smooth operation of our office.
Responsibilities:
- Welcome and direct visitors with a warm and professional manner, ensuring they are properly registered and provided with necessary information.
- Answer and manage incoming calls, transferring to appropriate departments, and taking accurate messages as needed.
- Assist in scheduling appointments, meetings, and conference room bookings.
- Sort and distribute incoming mail, manage outgoing mail and packages, and ensure timely handling of all deliveries.
- Maintain an organized record of visitors, phone logs, and other administrative files.
- Assist with general administrative tasks, such as filing, copying, scanning documents, and organizing office supplies.
- Ensure the front desk area is tidy and presentable, managing any office-related inquiries and coordinating with vendors for office maintenance as needed.
Requirements:
- Proven experience as a receptionist, front desk representative, or similar role in a customer-service-oriented environment.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong multitasking and time-management skills.
- Friendly and professional demeanor with a customer-service focus.
- Ability to handle sensitive information with confidentiality.
