Roles and Responsibilities

  • Greet and direct visitors, determining their needs and assisting them with necessary information or forwarding them to the appropriate department.
  • Answer and route incoming calls on a multi-line phone system, ensuring all calls are handled efficiently and professionally.
  • Maintain a neat and orderly reception area, ensuring materials are up to date and displayed attractively.
  • Schedule and confirm appointments, meetings, and events, coordinating with all relevant parties to avoid conflicts.
  • Assist with general administrative tasks such as data entry, filing, and record keeping to support office efficiency.
  • Handle incoming and outgoing mail and packages, ensuring timely distribution to the appropriate parties.
  • Provide excellent customer service by assisting with inquiries and resolving any minor issues at first point of contact.
  • Collaborate with team members to support special projects and events, providing logistical and administrative support as needed.
