The Executive Assistant will work directly with the Managing Director and will be responsible for performing several administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. Roles & Responsibilities:
o Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients and other key stakeholders.
o Prepare internal and external corporate documents as well as communications from the MD
o Manage the schedule and appointments of the MD
o Handling guest and visitors
o Assist the MD in maintaining and analyzing business information and data and creating reports as per the need
o Maintain an organized filing system of paper and electronic documents.
o Uphold a strict level of confidentiality.
o Develop and sustain a level of professionalism among staff and clientele.
o Coordinate with our legal team and many external consultants. Follow up, coordination with them.
o Should be good at taking dictation and drafting
o Travel management: Booking flights (domestic and international) and Hotels, local travel coordination, arranging Visas and travel documents, arranging insurance and Forex
o Should handle all the bank instruments – RTGS, NEFT, Cheques and online transfers
o Work closely with internal and external stakeholders and negotiations
o Handle board meeting, virtual calls and offline
o Handle real estate (coordination, documents, meeting, physical visits to the sites, and consultants)
o Visiting various government office, departments and meeting officers and authorities Expected Qualifications, experience, and skills:
o Bachelor’s degree in any stream. Any relevant qualification like MBA will be a plus.
o Minimum of 2+ years of experience as an Executive Assistant reporting directly to senior management.
o Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
o Proficiency in collaboration and delegation of duties.
o Strong organizational, project management and problem-solving skills with impeccable multitasking abilities.
o Exceptional data management & Analytical Skills
o Excellent communication skills, interpersonal skills, and teamwork ability
o Friendly and professional demeanor.
o Good drafting skills and written communication skills
