As an HR Assistant / Executive, you will play a crucial role in supporting the Human Resources department in various administrative and operational tasks. Your responsibilities will include assisting with recruitment processes, maintaining employee records, coordinating training programs, and handling day-to-day HR activities to ensure smooth functioning of HR operations.

Key Responsibilities:

  1. Recruitment Support: Assist in the recruitment process by posting job vacancies, screening resumes, scheduling interviews, and coordinating with hiring managers and candidates throughout the selection process.
  2. Onboarding and Offboarding: Facilitate the onboarding process for new hires, including preparing employment contracts, conducting orientation sessions, and ensuring completion of required paperwork. Manage offboarding procedures for departing employees, including exit interviews and clearance formalities.
  3. Employee Records Management: Maintain accurate and up-to-date employee records, including personal information, attendance records, leave balances, and performance evaluations, using HRIS or other database systems.
  4. Training and Development: Coordinate training programs and workshops for employees, including scheduling sessions, arranging training venues, and managing training materials. Assist in tracking employee training requirements and maintaining training records.
  5. HR Policies and Procedures: Assist in the implementation and communication of HR policies, procedures, and guidelines to employees. Address employee queries regarding HR policies and provide clarification or guidance as needed.
  6. Employee Relations: Serve as a point of contact for employee inquiries and concerns, escalating complex issues to HR management as appropriate. Foster positive employee relations and contribute to a supportive work environment.
  7. Performance Management: Support the performance appraisal process by preparing appraisal forms, tracking performance evaluations, and assisting in the compilation of performance data for review meetings.
  8. Compliance and Reporting: Ensure compliance with labor laws, regulations, and company policies. Assist in the preparation of HR reports, analytics, and metrics for management review and decision-making.
  9. Administrative Support: Provide general administrative support to the HR department, including managing correspondence, preparing HR-related documents, and maintaining office supplies.

Qualifications:

  • Bachelor's / Master's degree in Human Resources Management, Business Administration, or related field.
  • Prior experience in HR administration or assistant role preferred.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) and HRIS software.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of labor laws, regulations, and HR best practices.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Positive attitude, team player, and willingness to learn and adapt.
