Skills
1. Documentation and Transaction Management:
o Prepare accurate Proforma Invoices, Sales Orders, Purchase Orders, Quotes, and Monthly
Billing Records in a timely manner.
o Ensure all documentation complies with company policies and procedures.
2. Stakeholder Coordination:
o Coordinate effectively with Customers, Vendors, Warehouse, and Transporters/Couriers
to streamline operations and meet deadlines.
o Facilitate smooth communication to resolve operational issues promptly.
3. Prioritization and Urgency Management:
o Assess the urgency of requirements and prioritize tasks accordingly, demonstrating
flexibility in a fast-paced environment.
4. Financial Transactions and Records:
o Handle collection activities, monitor payment status, and follow up with clients/vendors
to ensure timely payments.
o Prepare Debit Notes, Credit Notes, and maintain comprehensive records of financial
transactions.
5. Inventory Management and Auditing:
o Oversee inventory management processes, conduct regular audits to maintain accuracy,
and minimize discrepancies.
6. Cost Control and Reporting:
o Assist in managing operational costs through analysis and identifying cost-saving
opportunities.
o Generate Management Information System (MIS) reports regularly to provide insights for
decision-making.
7. Process Improvement and Compliance:
o Continuously review operational processes, identify inefficiencies, and implement
improvements.
o Ensure compliance with regulatory requirements and internal policies.
Requirements:
Bachelor’s degree in Business Administration, Operations Management, or a related field.
Proven experience in a similar role with a strong understanding of trading and manufacturing
operations.
Excellent organizational and multitasking abilities.
Strong analytical skills with the ability to make data-driven decisions.
Proficiency in MS Office, ERP software (is must) and familiarity with financial principles.
Effective communication and interpersonal skills for stakeholder management.
Experience in handling collections, quoting, and maintaining monthly billing records
