Key Responsibilities:
Administrative Support: Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
Communication: Act as a point of contact between executives and internal/external stakeholders. Screen calls, emails, and requests, and handle inquiries when appropriate.
Meeting Coordination: Prepare agendas, take detailed meeting minutes, and follow up on action items. Arrange and coordinate internal and external meetings, including conferences and off-site events.
Travel Arrangements: Organize and book travel itineraries, including flights, accommodations, and ground transportation. Prepare travel expense reports.
Documentation: Create, manage, and maintain documents, presentations, reports, and correspondence for internal and external use.
Project Management: Assist in the planning and execution of special projects and initiatives as assigned. Coordinate cross-departmental efforts and ensure timely completion.
Office Management: Manage office supplies, oversee vendors, and handle office-related matters as needed.
Confidentiality: Handle sensitive information with discretion and maintain a high level of professionalism at all times.
Support Team Culture: Contribute to a positive team atmosphere by assisting with team-building activities and fostering a collaborative work environment.
Qualifications:
Education: Bachelor's degree preferred but not required.
Experience: Minimum of [X] years of experience as an Executive Assistant or in a similar role. Experience in supporting C-level executives is a plus.
Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and [any other relevant software, e.g., Google Workspace, project management tools].
