Job Overview
We are seeking a dedicated Front Office Receptionist to join our team at DataMites™ in our Pune location. This mid-level, full-time position is ideal for candidates with up to 6 years of experience. The Front Office Receptionist will act as the first point of contact for clients and visitors, requiring excellent communication and organizational skills to ensure efficient front desk operations.
Qualifications and Skills
- Strong communication skills (Mandatory skill) to interface effectively with clients and team members, providing a welcoming and professional atmosphere.
- Proven customer service skills to aid in addressing inquiries and concerns with a positive attitude and ensuring a seamless visitor experience.
- Problem-solving abilities to address and resolve issues promptly, ensuring minimal disruption to office operations.
- Organizational skills for managing multiple priorities and tasks, such as scheduling and maintaining reception area resources.
- Time management skills to ensure tasks are completed efficiently and deadlines are consistently met without supervision.
- Attention to detail to maintain accurate records, manage correspondence, and facilitate proper follow-ups with clients and staff.
- Multitasking abilities to handle a fast-paced environment, managing multiple phone lines and assisting walk-in guests simultaneously.
- Basic computer skills to operate office software and equipment, including email, word processing, and databases, to support front desk activities.
Roles and Responsibilities
- Welcome and greet clients and visitors, directing them to the appropriate departments or personnel as needed.
- Manage incoming and outgoing calls efficiently, ensuring clear communication and relaying messages accurately.
- Maintain the reception area’s appearance, ensuring it is tidy, organized, and presentable at all times.
- Assist in scheduling appointments and coordinating meeting room bookings to optimize office flow and efficiency.
- Handle administrative duties such as filing, scanning, and data entry to support various departments.
- Respond to basic inquiries regarding company services, or refer clients to the appropriate personnel for complex queries.
- Maintain security by following procedures and controlling access via the reception desk, including monitoring visitor logbooks.
- Support team coordination by assisting with event planning, office supplies management, and facilitating internal communication.
