Strategy planning: - 50%
1) Communica�on: an effec�ve communica�on channel to be established with the Resident
Associa�on team, Residents of the condominium and the workforce deployed by Caere.
2) Resident’s sa�sfac�on: Residents sa�sfac�on is the utmost priority and taking feedback
regularly and analyse the same will help improving the sa�sfac�on among the Residents.
Also, breakdowns to be analysed carefully and necessary ac�on plans to be carried out to
lower the breakdowns. The PM must achieve 4+ scores in the surveys out of 5.
3) Employee planning & welfare: Plan for recruitment with the help of HO HR department.
Evaluate employees, conduct trainings (inhouse and external) in coordina�on with the
L&D department of Caere. Manage employee grievances, conduct R&R.
4) Managing cost: the PM shall be responsible for the cost management of the
condominium. He should chalk out an annual budget which need to monitor, and reports
need to send on periodic basis to the Associa�on and Ver�cal Head. Ensure CAM, EB and
water bills are sent on �me and ensure collec�on from the Residents.
5) Repairs & maintenance: Implement a proac�ve maintenance program to for equipment
and services and should and should prevent costly repairs. Develop rela�onships with
reliable vendors for quick support irrespec�ve of day, night and holidays for �mely repairs
and breakdowns.
6) Implement rules, regula�ons, policies, SOPs: This becomes one of the primary jobs of the
PM. The Associa�on’ rules, regula�ons, policies to be implemented and monitored. There
shall be a balance between Resident’s sa�sfac�on and the rules, regula�ons, and policies.
Reviews are conducted regularly and revisit the documents if necessary.
7) Managing all services: Ensure all equipment, services are managed and maintained
properly. All facili�es shall be always available to the Residents. Their safety to be the top
priority. Implement SOPs and process and monitor the same.
8) Managing disputes: Another top priority is to manage and resolve disputes. Even though
the Residents to the Residents, tower to tower shall be managed by the Associa�on, the
involvement of the PM is also very crucial. The PM should approach any problem with
utmost care and seek help as and when required.
9) Technology integra�on: The PM should be a technology savvy person who can help
implemen�ng the FM so�ware, collec�ng the data, analysing the data, making/changes
in schedules and checklist and tracking etc. PM should ensure all ac�vi�es are
incorporated into the so�ware to get a beter visibility on the work happening on the
ground.
10) Community engagement: The PM should connect with all Residents irrespec�ve whether
the Resident is a tenant or an owner. Use every opportunity to connect with them.
11) Emergency preparedness plan: Develop an emergency preparedness & response plan for
handling natural disasters, fire, or other crises. Educate the complete work force and
residents about emergency procedures and provide access to necessary resources such as
evacua�on routes and emergency contacts. It is important to develop the team members
to address the issues. While flood or heavy rains are predicted, plan for addressing the
same with addi�onal manpower especially in the nights.
12) Legal & safety compliances: The PM should focus on all legal and safety compliances of
the Residents and staffs. A proac�ve approach is required for addressing the issues
including planning correc�ve and preven�ve plans.
13) Learning and development: Evaluate workforce on regular basis, coordinate with Caere L
& D department for trainings and professional development and improvement.
14) Con�nuous improvement in services: PM should be updated with latest trends in the
industry and ensure improvement of all services under the PM. This includes
implemen�ng best prac�ces for services and environmental safety etc.
Tasks: - 50%
1) Manage around 120 plus staffs including resolving their grievances.
2) Take walk around the premises daily/daily inspec�on of the site.
3) Implement and monitor the policies and processes.
4) Do briefing before the shi� and debriefing a�er the shi�.
5) Check the checklist.
6) Coordinate for events, fes�vals etc., Manage large events and gathering.
7) Give approvals for various ac�vi�es.
8) Ensure the bills are raised on �me.
9) Issue work permits, RFID, access cards, approve move in move out, material receipts
etc.
10) Check atendance, approves and send to Caere HO for processing salaries and Client
invoices.
11) Submit Caere invoice to the Associa�on and ensure payment collec�on on �me.
12) Atend review mee�ngs with Associa�on, vendors etc.
13) Get quota�ons for various ac�vi�es, prepare comparisons, and submit to the
Associa�on for their approvals. Release PO and advances as and when required.
14) Check schedules for various ac�vi�es, ensure the work is completed on �me.
15) Arrange, coordinate, and complete all repairs and maintenance.
16) Manage stock, storeroom, arrange for supplies, plan inventory.
17) See dashboard and plan for correc�ve and preven�ve ac�ons.
18) Hire and supervise the contractors and vendors.
19) Conduct trainings with the help of L&D department.
20) Coordinate with HO procurement and finance departments for various ac�vi�es.
21) Coordinate with Volunteers for the inspec�on of the site to ensure standards are met.
22) Recruit staffs and train them.
23) Time bound resolu�ons for the grievances of the Residents.
Qualifica�on
A degree or diploma in hotel management or tourism or professional degree in Engineering
Or a degree in any field with at least 10 years of experience in Hotel, Club, residen�al
condominiums managing so� services.
