Admin Job Role & Responsibilities: 1. Office Management: Oversee day-to-day operations of the real estate office. Ensure a clean, organized, and efficient work environment. 2. Documentation and Filing: Manage and organize property documents and paperwork. Maintain a systematic filing system for easy retrieval. 3. Front Desk Operations: Manage the front desk, including handling inquiries, phone calls, and walk-ins. Greet clients, visitors, and agents professionally. 4. Appointment Scheduling: Schedule appointments for property viewings, client meetings, and other real estate activities. Coordinate schedules for real estate agents and brokers. 5. Client Communication: Respond to client inquiries and requests promptly and professionally. Communicate property information, updates, and relevant details to clients. 6. Database Management: Maintain and update office databases. Ensure data accuracy and completeness. 7. Coordination with Each Dept.: Provide administrative support to each dept. 8. Vendor Coordination: Coordinate with vendors and service providers for maintenance and repairs. Manage relationships with key service partners. 9. Financial Administration: - Assist in basic financial tasks, such as invoice processing, expense tracking, and monitoring. - Collaborate with the finance department for accurate financial record-keeping. 10. Document Preparation: - Draft, proofread, and edit documents, including property listings, contracts, and correspondence. - Ensure documents comply with legal and regulatory requirements. 11. Meeting Coordination: - Arrange and coordinate meetings, conferences, and training sessions. - Prepare meeting agendas, materials, and take meeting minutes. 12. Reporting: - Prepare regular reports on office activities, and administrative tasks. - Provide updates to management on key performance indicators. 13. Client Relations: - Build and maintain positive relationships with clients, ensuring a high level of customer satisfaction. - Address client concerns and inquiries professionally
