Job Description
The Documentation Specialist plays a critical role in the backend operations at HandCraft Worldwide. This position ensures all customer-related documents are prepared and processed efficiently, supporting the sales and logistics teams by providing accurate documentation necessary for smooth transactions and high customer satisfaction.
Responsibilities
- Document Preparation: Generate and manage sales-related documentation, including quotations, purchase orders, invoices, and e-way bills.
- Order Processing: Ensure that all documents are accurate and delivered on time to facilitate timely order fulfillment.
- Website Maintenance: Assist in updating the company website with new product information to ensure that all online content is current and accurate.
- Internal Coordination: Collaborate closely with the Sales team and the Graphic Designer to ensure that all documents, especially quotations, include the required mock-ups from the Graphic Designer.
Key Performance Indicators (KPIs)
- Accuracy of documents prepared.
- Timeliness of document delivery to clients and internal stakeholders.
- Efficiency in website updates.
Goals
- Daily: Prepare and process all required documents for transactions completed during the day.
- Weekly: Review and update website content.
- Monthly: Ensure zero errors in documentation that could affect customer satisfaction or company operations.
Work Hours and Environment
- Regular Hours: Monday to Friday, 10 AM to 7 PM with a flexible 40-minute lunch break and a 15-minute evening tea break. Saturdays from 10 AM to 3 PM with a 30-minute lunch break from 1:30 PM to 2 PM.
- Location: Hybrid position requiring travel to the Andheri office only for training and review meetings as needed.
Incentive Structure
While this role does not include a direct sales commission, performance bonuses may be awarded for exemplary work that leads to increased efficiency, customer satisfaction, or significant contributions to team goals.
Required Qualifications
- Educational Qualification: Bachelor’s degree in Business Administration, Finance, or a related field.
- Experience: Minimum of 1-2 years in a documentation or administrative role, preferably with experience in handling sales documentation in a business environment.
