Job Summary:
We are looking for a highly organized and detail-oriented Financial Operations Executive to oversee and manage the financial aspects of purchase order creation and invoice accounting using SAP software. The Financial Operations Executive will play a pivotal role in ensuring the accuracy and efficiency of financial processes and will be responsible for data management, budget evaluation, and reporting every week.
Key Responsibilities:
- Purchase Order Management:
- Create and manage purchase orders using SAP or other relevant software.
- Ensure purchase orders are accurate and comply with company policies and budget constraints.
- Coordinate with the procurement team to track order status and resolve any discrepancies.
- Invoice Accounting:
- Validate and process invoices through SAP, ensuring accuracy and adherence to company guidelines.
- Monitor and resolve any discrepancies or issues related to invoices.
- Collaborate with vendors and internal teams to resolve payment discrepancies.
- Financial Data Management:
- Maintain an organized and easily accessible database of financial records, including purchase orders and invoices.
- Ensure that financial data is complete and up-to-date for reporting and auditing purposes.
- Budget Evaluation:
- Assist in the development and monitoring of departmental budgets.
- Prepare regular reports on budget utilization and provide insights and recommendations for cost control.
- Weekly Reporting:
- Prepare and present weekly reports on the department's financial spending to the Head of Projects.
- Highlight any variances, financial risks, or opportunities for improvement.
- Compliance and Documentation:
- Ensure compliance with accounting and financial regulations.
- Maintain accurate and up-to-date documentation of financial transactions.
Qualifications:
- Bachelor's degree in Finance, Accounting, or a related field. A master's degree is a plus.
- Proven experience in financial operations, purchase order management, and invoice accounting.
- Proficiency in SAP or other relevant financial software.
- Strong analytical and problem-solving skills.
- Excellent organizational and time management abilities.
- Attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Ability to work effectively in a fast-paced and dynamic environment.
- Knowledge of relevant financial regulations and best practices.
