Job Profile:
Overview: We are seeking a diligent and organized individual to join our warehouse operations team as a Warehouse Operations Assistant (Petty Cash & Logistics Coordinator). This role is crucial in ensuring smooth and efficient warehouse operations by managing petty cash, overseeing transportation costs, handling documentation such as LR (Lorry Receipts), e-way bills, and writing forwarding notes. The ideal candidate will possess strong attention to detail, excellent organizational skills, and the ability to multitask effectively.
Responsibilities:
- Petty Cash Management:
- Maintain petty cash funds and ensure accuracy in recording transactions.
- Reconcile petty cash balances regularly and prepare reports as required.
- Process petty cash reimbursements in accordance with company policies.
- Transportation Cost Tracking:
- Verify transportation costs against LR (Lorry Receipts) and other relevant documents.
- Maintain accurate records of transportation expenses and ensure adherence to budgetary constraints.
- Communicate any discrepancies or issues related to transportation costs to the appropriate stakeholders.
- Documentation Handling:
- Prepare and manage e-way bills for transportation as per regulatory requirements.
- Organize and maintain all documentation related to warehouse operations, including LR, e-way bills, and forwarding notes.
- Ensure timely submission of required documentation and compliance with legal and internal policies.
- Forwarding Notes:
- Prepare forwarding notes accurately, detailing the contents of shipments and relevant logistics information.
- Coordinate with internal teams and external partners to ensure timely and efficient dispatch of goods.
- Assist in resolving any logistical issues or delays that may arise during the forwarding process.
- Inventory Support:
- Collaborate with inventory management teams to reconcile inventory discrepancies and maintain accurate records.
- Assist in conducting regular stock checks and audits to ensure inventory accuracy.
- Communicate any inventory-related concerns or observations to the warehouse management team.
- Qualifications:
- Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- Prior experience in warehouse operations, logistics coordination, or a similar role is preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with inventory management software.
- Strong analytical skills with the ability to interpret data and generate insights.
- Excellent communication and interpersonal skills, with the ability to liaise effectively with internal teams and external stakeholders.
- Detail-oriented mindset with a focus on accuracy and precision in all tasks.
- Ability to prioritize tasks effectively and work efficiently in a fast-paced environment.
