Job Description

Duties & Responsibilities:
Based at the Aga Khan Academy, Hyderabad and reporting to the Head of Finance, the Purchase manager will be responsible for:
- Managing the purchasing functions for the Aga Khan Academy, Hyderabad. This includes: negotiating with suppliers, putting systems in place to track purchasing cycles and reporting purchasing activity.
- Promoting and upholding transparency in the procurement process with a view to projecting a positive image of the Academy and establishing and maintaining good public relations with suppliers and other Academy stakeholders.
- Coordinating the implementation and maintenance of stock and asset controls and record keeping.
- Purchase of goods and services following the procurement guidelines in order to meet the quality, service and price levels expected by the Academy.
- Develop a listing/compendium of pre-qualified and pre-approved suppliers who are able to meet the Academy’s quality and price standards.
- Develop and implement tools to monitor goals, such as cost reduction, timely delivery, improved supplier performance and improved project lead times.
- Provide professional support to user departments.
- Processing non manpower invoices for payment.
- Ensure receipt of goods within agreed timelines and coordinate the inspection by user departments.
- Oversee clearance of goods through customs and ensure full compliance with regulations.
- Coordinate asset and inventory system ensuring the safety of inventory and assets.
- Ensure all procurement is tracked against budget and provide management reports.
- Keeping track of contracts with vendors, preparing renewals, addendums as required.
- Participate in the annual stock taking of all inventories.
- Any other duties and responsibilities, as may be assigned by the Head of Academy.
The Requirements
The ideal candidate will have the following profile:
- Integrity and honesty.
- Good knowledge of standard procurement guidelines and experience in handling medium to large procurement and supplies transactions.
- Experience in implementing specialized purchasing software and working with database software and reporting.
- Excellent analytical skills, problem identification and solving skills.
- Excellent interpersonal and communication skills (written & oral).
- Demonstrated experience in leveraging suppliers to meet quality, price and delivery requirements.
- Proactive approach to business initiatives, including the ability to multitask, think creatively, identify issues and present solutions.
