Job Overview
We are seeking an excellent candidate for the role of Operations and Executive Support role to join our team. The ideal candidate will be responsible for providing administrative and executive support to ensure the efficient operation of the office.
Qualifications and Skills
- Proficiency in calendar management to schedule and coordinate meetings effectively.
- Excellent communication skills, both verbal and written, to interact seamlessly with team members and clients.
- Strong organizational skills to manage multiple tasks efficiently.
- Effective problem-solving abilities to address day-to-day challenges proactively.
- Good time management skills to prioritize tasks and meet deadlines.
- Maintain confidentiality to handle sensitive information with discretion.
- Keen attention to detail to ensure accuracy and quality in all tasks.
- Ability to prioritize to manage workload and support team needs effectively.
Roles and Responsibilities
Pre-Webinar:
- Call new registrants to welcome them and upsell VIP tickets (commission-based).
- Manage WhatsApp messages, answer queries, and tag users appropriately.
- Respond to all support tickets via email within 2-3 hours.
- Create WhatsApp and Zoom webinar links for upcoming sessions.
- Update landing pages with new webinar dates and WhatsApp links.
- Prepare daily content for WhatsApp groups with images.
- Send pre-class warm-up messages and post class messages/templates.
During Webinar:
- Attend webinars and take notes on:
- Attendance
- Engagement factors
- Attendee feedback (likes/dislikes)
- Answer attendee questions during the webinar.
- Co-host on Zoom, share payment links, congratulate attendees, and address queries.
- Attempt to close sales during the webinar.
Post-Webinar:
- Ensure login access for paying customers and add them to relevant WhatsApp groups.
- Call paying customers to explain next steps, collect GST forms, and deliver invoices (coordination with Pooja).
- Post about weekly Q&A calls on WhatsApp groups.
Additional Tasks:
- Participate in support calls with webinar teams and FBK ads team.
- Add meeting minutes (MOMs) and follow up with the FBK team on results and tasks.
- Maintain and backup all video ads in a designated folder.
